Job Summary

Under the direction of the Director of the Exchange, the Sales Coordinator supports daily exchange operations by answering phones, booking and changing orders, and processing paperwork. This role helps maintain efficient communication with both the packinghouse and Sunkist, execute accurate and timely order booking, and track packaging inventory.

Essential Job Functions

    • Understand the packing process, fruit inventory levels, and be able to translate that into sales.
    • Book or counter-offer orders as they come in from Sunkist through the Prophet system.
    • Monitor the shared email inbox and make order changes as necessary.
    • Receive phone calls, determine the nature of the call and either directly assist them or direct them to the correct person/department. Includes taking accurate messages and providing accurate information to drivers.
    • Greet visitors entering the exchange office, determine the nature of the visit and either directly assist them or direct them to the correct person/department.
    • Oversee all export orders, including inputting new orders, scheduling pick up appointments with carriers, and scheduling and processing Phytosanitary certificates.
    • Oversee internal transfer truck drivers and route them as needed throughout the day.
    • Monitor packaging inventory levels and physically confirm the reporting coming from the packinghouse. Project packaging material needs and coordinate ordering based on various lead times and sales demand.
    • Maintain sales reports as requested.
    • Cross train with other employees in the exchange and other Saticoy departments.
    • Assist packinghouse personnel when needed, relay important information, and answer questions.
    • Promote positive employee relations and escalate concerns as needed.
    • Participate in team meetings and suggest process improvements.
    • Perform other duties as assigned based on business needs

Knowledge, Skills, and Abilities

    • Strong communication skills (verbal and written) in English.
    • Basic knowledge of packing operations, grading standards, and quality control.
    • Ability to maintain professional working relationships across Saticoy departments, with Sunkist personnel, and with other Sunkist packinghouses.
    • Strong organizational and recordkeeping skills.
    • Strong attention to detail with the ability to prioritize and multi-task.
    • Strong ability to use computer systems such as Microsoft Office, Power BI, and operational software.
    • Strong ability to work independently and carry out assignments to completion with little assistance.

Minimum Qualifications

    • High school diploma or equivalent required.
    • Three or more years of experience in the agriculture field preferred.
    • Bilingual preferred (English/Spanish).

Physical Demands

    • Regularly required to sit, stand, walk, talk, and hear.
    • Frequently use hands to operate standard office equipment and sort paperwork.
    • Occasionally required to walk longer distances, bend, stoop, kneel, or crouch.
    • Vision abilities include close, distance, color, and depth perception.

Job Summary

The Purchasing and Administrative Clerk provides administrative support to the accounting department. This role is responsible for maintaining accurate records, supporting work order systems, coordinating vendors, and assisting with compliance documentation.

This position plays a key role in ensuring maintenance operations run efficiently by supporting planning, communication, and documentation across all facilities.

Essential Job Functions:

Administrative & Coordination Support

    • Provide day-to-day administrative support to the CFO.
    • Coordinate meetings, schedules, and department communications.
    • Maintain organized digital and physical filing systems for maintenance and engineering records.
    • Assist with preparation of reports, presentations, and department communications.

Work Order & CMMS Support

    • Enter, track, and update work orders in the maintenance system (CMMS or manual logs).
    • Monitor work order status and follow up with maintenance staff as needed.

Vendor & Purchasing Coordination

    • Assist with purchase orders, parts ordering, and inventory tracking.
    • Communicate with vendors for quotes, service scheduling, and follow-ups.
    • Track deliveries, invoices, and service records.
    • Support contractor coordination, including scheduling and site access documentation.

Compliance & Documentation

    • Track required certifications, permits, and inspections.

Maintenance Planning Support

    • Assist in scheduling preventive maintenance activities.
    • Help track completion of maintenance tasks and report gaps.
    • Maintain maintenance calendars and shutdown schedules.

Communication & Reporting

    • Act as a point of contact between maintenance, operations, and vendors.

Knowledge, Skills, and Abilities

    • Customer and personal services experience
    • Proficiency Microsoft Office suite
    • Strong organizational and recordkeeping skills
    • Bilingual (English/Spanish) strongly preferred
    • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

Job Summary

Under the direction of the Plant Manager, the Shipping Supervisor is responsible for overseeing daily shipping operations to ensure accurate, timely, and efficient order fulfillment.  This role coordinates cross-functional activities with Packing, Storage, Quality Assurance, and Administrative teams, while supervising personnel, maintaining inventory accuracy, supporting food safety standards, and promoting a safe work environment.

Essential Job Functions

    • Supervise and coordinate daily shipping department operations and employee assignments.
    • Prioritize shipping activities based on production schedules, customer orders, and operational needs.
    • Ensure accurate loading, staging, and shipment of domestic and export orders.
    • Verify pallet tags, manifests, truck information, and shipping documentation for accuracy and compliance.
    •  Ensure accurate preparation and processing of all required shipping documentation, including export documentation such as phytosanitary certificates and certificates of origin, when applicable. Maintain accurate inventory records using shipping systems, scanners, and related software programs.
    • Monitor packed fruit inventory, product rotation, quality, and condition, including identifying fruit requiring reconditioning or additional review.
    • Communicate regularly with Plant Manager, Pack Supervisors, Storage personnel, and office staff regarding production, inventory, and order fulfillment concerns.
    • Train and support Shipping Clerks and shipping personnel on procedures, systems, equipment, food safety, and operational expectations.
    • Monitor department productivity, staffing coverage, and workflow efficiency.
    • Observe work practices and address unsafe conditions or operational concerns promptly.
    • Conduct routine department inspections and assist with incident investigations as needed.
    • Support compliance with customer, USDA, Sunkist, food safety, and company operational requirements.
    • Perform other duties and projects as assigned.

Supervisory Responsibilities

    • Provide day-to-day supervision and direction to Shipping department employees.
    • Review and approve employee timesheets daily for accuracy.
    • Review and recommend employee time-off requests in accordance with Association policies.
    • Assist with collecting signed employee forms as required by the Association policies.
    • Support training, coaching, and performance feedback for employees.
    • Promote positive employee relations and address or escalate concerns as needed.
    • Support disciplinary processes through clear communication and documentation.
    • Work with management to resolve employee issues, complaints, or grievances.
